SHARING WORD DOCUMENTS
Remove Word metadata before sharing
Author details and comments can travel with an attachment. Prepare a separate copy, remove what you intend to remove, then check what the recipient will see.
Start with a copy and a clear limit
Metadata means details about a file, such as its author, last-saved-by name or document properties. Comments can reveal reviewers and discussion. Removing these does not redact names or confidential information in the document itself.
Keep your original. Names in text, headers, footers, images, image metadata, links and retained field results can still identify people. Neither approach below guarantees anonymity.
Does another person’s name mean they have access?
Author and Last saved by are stored file properties, not a list of who can open a cloud file. A name’s presence or absence proves neither access nor lack of access. Check where the name or email appears:
- In file properties: to correct an author credit while keeping comments and review history, follow Microsoft’s author-property guidance. Cloakfold has no properties-only Word mode; its cleanup removes comments too. Keep your original and useful review history.
- In OneDrive or SharePoint sharing: review the actual cloud item’s people, links and inherited folder or site access using Microsoft’s sharing and permissions guidance. Ask the owner or administrator to resolve permissions you cannot change. Removing one link may leave other access routes.
- In the Office account or profile area: use Microsoft’s Office sign-in help to check the account, separately from file properties.
Metadata cleanup does not revoke sharing, change Office sign-in, alter the original cloud item or retrieve an ordinary downloaded copy. Before sharing a saved or reuploaded copy, review that file and its cloud access where applicable.

Prepare a small DOCX set with Cloakfold
Use this for supported 1–5 .docx files, up to 20 MB combined. It is free and runs locally on your device. Documents are never uploaded; no account is needed. The cleanup tool needs JavaScript.
- Open DOCX cleanup and choose or drop your files. Cloakfold removes supported document properties, comments and previews, plus empty template bibliography data. These supported categories are removed together; there is no category selector.
- Read each exact removal report and status. Unsupported or unsafe files are blocked, including revisions outside the chosen operation, protected documents, embedded objects and nonempty custom data. A failed file has no partial cleaned output; later files can still finish. Check the full support limits.
- Download completed copies individually, or prepare a ZIP for a multi-file selection. The ZIP contains only completed outputs; failed and cancelled files are explicitly excluded. If ZIP preparation fails, individual downloads remain available.
For multiple files, match each original to its neutral output name in the local results, such as document-01-cleaned.docx. A single file downloads as cloakfold-cleaned.docx. Original names appear only in the local interface, not in the ZIP. Keep the association yourself before leaving: reloading or leaving cleanup discards the results.
For basic tracked text edits, open the Word final-copy job before selecting files. This keeps inserted text, removes deleted text, accepts supported formatting changes and also cleans metadata and comments. Resolve unwanted edits in your editor first. Paragraph-mark changes, moves and other structural revisions are refused for the entire file. Review every final copy; your original stays unchanged. This is not a claim of Microsoft Word equivalence.
Cleaned files are limited to 80 MB total; ZIP downloads to 81 MB. Smaller complex documents can also be blocked. Metadata cleanup retains supported text and formatting. Identifying content still needs your review.

Use Word’s own inspection tools
On Windows desktop, work on a saved copy. Microsoft recommends this because removed data may not be recoverable. Choose the inspection categories deliberately: Word can remove content beyond Cloakfold’s supported cleanup.
- Go to File → Info → Check for Issues → Inspect Document.
- Choose categories and inspect. Review the results for properties/personal information and comments; the comments category also includes revisions and other annotations.
- Use Remove All only for categories you want removed. Reinspect, save, then review the copy.
See Microsoft’s copy and removal guidance for category details and limits.
Mac and web differ
Word for Mac has no Document Inspector. Under File → Properties, edit Summary fields manually; custom properties can be deleted in the Custom tab. This does not remove comments.
Word for the web currently cannot view or change document properties. Open the file in the desktop app to manage them; its capabilities depend on the desktop platform.
Platform guidance: Microsoft: Inspect document, checked 19 October 2026. These instructions are based on Microsoft’s documentation; we have not tested installed Word versions.
Review the copy you will actually share
- Check text, headers, footers, images, links and field results for names or confidential details. Metadata cleanup does not redact them.
- Read the removal report or Word inspection results. A completed cleanup is not a check of every identifying detail.
- Match each original to the correct cleaned output. Account for failed or cancelled files excluded from the ZIP.
- Open each copy you plan to share in your document editor. Check content, formatting and remaining properties/comments. Editing or saving can add metadata again; inspect the final saved file.
- Choose a suitable filename and attach the reviewed copy, keeping the original separately.
